Supports the mission of People's Community Clinic by improving efficiency and productivity, increasing community interactions and referrals, supporting grant acquisitions, and coordinating projects within their assigned department.

 

This position works as a member of the operations team to ensure excellent customer service, optimal resource utilization, and optimal patient access for their assigned department. This position works in collaboration with the department leadership to provide continuous workflow improvement for the Department.

 

The starting rate for this position is $68,000 - $78,000 annually. 

 

Responsibilities

  • Manage assigned work groups, including hiring, onboarding, and training, and regularly assess competencies; identify and oversee new or additional training as needed.
  • Coordinate efforts between other departments to improve communication around scheduling and patient care.
  • Evaluate workflows to identify ways to maximize our translation services and use of technology in order to promote and support a diverse workforce.
  • Lead development of processes and procedures that identify opportunities to continually improve patient access, promote maximum use of all PCC resources (including rooms, providers, and support staff), and align quality metrics.
  • Assist in overseeing and managing grants, programs, or contract deliverables for assigned department.
  • Represent assigned department at interdepartmental and external meetings, including professional trainings conferences, and community collaborative workgroups.
  • Together with the department leadership, Clinical Quality, and Population Health Team, coordinate improvement measures for key metrics and cadence for review and improvement cycle.
  • Proactively manage schedules in coordination with the department leadership team and communicate major schedule changes as they occur.
  • Identify opportunities to improve scheduling templates, event types, and resource configuration in coordination with the Director of Operations to meet productivity goals and work cooperatively to implement these and other quality improvements.
  • Proactively communicate scheduling, coverage, or template issues to the Sr. Operations Manager and the department leadership team and recommend possible solutions.
  • Manage provider PTO schedules for assigned department, ensuring adequate coverage at all times. Promote adherence to the provider PTO request procedure. Coordinate with the department Director or CMO to prioritize simultaneous requests.
  • Review and approve provider (employee and contract) timesheets.
  • Actively manage PRN resources, including clear communication of schedules and contingencies.
  • Schedule department meetings in coordination with the department Director and maintain communication with the department.
  • Organize and edit the department Intranet Page to keep resources up to date.
  • Adhere to HIPAA guidelines.
  • Create and review weekly and monthly access reports to identify opportunities to increase access (e.g., utilization of in-person vs. telemed visits).
  • Organize and lead patient case conferences as needed.

Qualifications

Education: 

  • Bachelor’s degree required; An equivalent combination of relevant education and/or professional experience may be considered in lieu of a degree.

 

Experience:  

  • Minimum of four years of experience working in a healthcare setting or related field.
  • Minimum of one year of experience supervising staff.
  • Healthcare and nonprofit experience are strongly preferred.

 

Knowledge, Skills, and Abilities:  

  • Excellent analytical, oral, and written communication skills
  • Experience with provider scheduling and scheduling templates
  • Ability to thrive in a fast-paced, highly dynamic environment
  • Self-starter with the ability to accomplish goals with minimal supervision
